Good GST reporting inside a POS system means every sale and purchase is already tagged with the right HSN code, rate and place of supply when the bill is made. Month-end filing then becomes an export your CA can check, not a reconstruction of the month from bill books and WhatsApp photos.

Quick answer

A retailer needs six reports from billing software each month: a B2B sales register, a B2C summary, an HSN-wise summary, a tax-rate summary of CGST, SGST and IGST, a purchase register to match against GSTR-2B, and a list of credit and debit notes. If your software produces these from daily billing, GSTR-1 and GSTR-3B take minutes instead of days.

Which GST reports does a retail shop need each month?

Six: a B2B sales register, a B2C summary by place of supply and rate, an HSN-wise summary, a tax-rate summary, a purchase register for GSTR-2B matching, and a credit/debit note list. This is what your CA will ask for:

ReportWhat it showsUsed for
B2B sales registerEvery invoice to a GST-registered buyer, with the buyer's GSTIN, invoice number, taxable value and taxGSTR-1 B2B section
B2C sales summarySales to unregistered customers, grouped by place of supply and tax rateGSTR-1 B2C sections
HSN-wise summaryQuantity, taxable value and tax for each HSN codeGSTR-1 HSN summary
Tax-rate summaryOutput CGST, SGST and IGST by rate (5%, 18% and so on)GSTR-3B output tax
Purchase registerSupplier invoices with GSTIN, taxable value and input taxMatching with GSTR-2B before claiming ITC
Credit and debit notesReturns and price changes, linked to the original invoiceGSTR-1 notes section and corrected tax

The difference between GSTR-1 and GSTR-3B, and their due dates, is explained in GSTR-1 vs GSTR-3B for retail shops.

Where retail GST reporting goes wrong

  • Wrong HSN or rate on the item: one wrong rate repeats on every bill of that item. After the September 2025 rate changes, check items that used to be at 12% or 28%. See the 2026 GST rates guide.
  • B2B bills without the buyer's GSTIN: the buyer cannot claim input tax credit, and the sale lands in your B2C figures.
  • Returns written on paper: if a return is not recorded as a credit note against the original bill, you pay tax on a sale that was reversed.
  • Purchases not matched with GSTR-2B: input tax credit is claimed on invoices the supplier never uploaded. See GSTR-2B reconciliation.
  • Manual totals in Excel: numbers typed from bill books rarely match the invoices when the department asks.

A simple monthly routine

  1. Daily: bill every sale in the software, including returns as credit notes. Enter supplier bills the day they arrive.
  2. First week of the month: export the sales register, B2B and B2C split, HSN summary and tax-rate summary for last month.
  3. Before GSTR-3B: download GSTR-2B from the GST portal and match it with your purchase register. Follow up with suppliers on missing invoices.
  4. Send to your CA: share the exports in Excel or PDF. Ask them to confirm any HSN or rate they disagree with, and fix it on the item for next month.

How RichPOS handles it

In RichPOS you set the HSN code and GST rate on each item once. Every bill then carries the right tax with the CGST + SGST or IGST split, and returns are recorded against the original invoice. Sales and purchase GST reports by HSN, profit and loss and stock valuation can be exported to Excel, CSV or PDF in one click.
