How to use it

  1. Add your business (the consigner). Type your name, address and GSTIN. The state is read from the first two digits of the GSTIN. Details saved in the invoice generator on this browser are filled in for you.
  2. Add the consignee. Enter the person or branch receiving the goods: name, address and GSTIN if registered. For a job worker, this is the job worker.
  3. Pick the reason for transport. Job work, goods on approval, stock transfer within the same GSTIN, liquid gas, supply with the invoice to follow, or another movement that is not a supply. Add the vehicle number if you have it.
  4. Add the goods. Description, HSN, quantity and value for each line. Keep GST shown when the goods move for a supply; untick it for job work or a branch transfer where no tax is charged.
  5. Print three copies. Pick the copy label (Original for consignee, Duplicate for transporter, Triplicate for consigner), print, change the label and print again. Or save as PDF or Excel.

Questions

What is the format of a delivery challan under GST?

Rule 55(1) of the CGST Rules lists it: date and number of the challan (up to 16 characters), name, address and GSTIN of the consigner, name, address and GSTIN or UIN of the consignee if registered, HSN code and description of goods, quantity (provisional if not known), taxable value, tax rate and amount where the goods move for a supply, place of supply for inter-State movement, and a signature. This maker prints all of them.

How many copies of a delivery challan are needed?

Three, when goods move for supply. Rule 55(2) says the original is marked ORIGINAL FOR CONSIGNEE, the duplicate DUPLICATE FOR TRANSPORTER and the triplicate TRIPLICATE FOR CONSIGNER. Pick each label in the Copy label box and print once per label.

Should GST be shown on a delivery challan?

Rule 55(1)(vii) asks for the tax rate and amount (central, State, integrated or UT tax and cess) where the transportation is for supply to the consignee. For movements that are not a supply, such as sending goods to your own job worker, there is no tax to charge, so you can untick Show GST. The taxable value is still printed on every challan, as Rule 55(1)(vi) asks.

Can I send stock to my other shop on a delivery challan?

If both shops are on the same GSTIN, the movement is not a supply, so a delivery challan is the document (Rule 55(1)(c), transportation for reasons other than by way of supply). If the other shop has a different GSTIN, for example in another State, it is a supply between distinct persons under Schedule I of the CGST Act, and you need a tax invoice instead. Ask your CA if you are unsure.

Is a delivery challan enough for goods sent on approval?

Goods sent on approval for sale or return can move on a delivery challan. Section 31(7) of the CGST Act then says the tax invoice must be issued when the customer keeps the goods, or six months from removal, whichever is earlier.

Do I still need an e-way bill with a delivery challan?

Rule 55(3) says goods moving on a delivery challan in lieu of an invoice must be declared as specified in Rule 138, which is the e-way bill rule. Whether a bill is needed depends on the value and the type of movement under Rule 138; check with your transporter or CA. This tool makes the challan only and does not generate e-way bills.

What if I send one order in several lots?

Rule 55(5) covers goods sent in semi or completely knocked down condition, or in batches or lots: issue the complete invoice before the first lot, then a delivery challan for each later lot with a reference to that invoice, send a certified copy of the invoice with each lot and the original with the last one. Use the Invoice reference box for this.

Is my challan saved anywhere?

Only in this browser's local storage, so the next challan starts with your details and the last number. Nothing you type is sent to our server. Delete saved data wipes it.
