Why does my UPI total not match the bank credit today?
Usually because the money has not settled yet, a payment was recorded as cash by mistake, or one UPI payment covered two bills. A real missing payment is rarer than a timing or recording difference.
If your QR code credits your own bank account directly, payments usually show in your bank app within seconds. If you use a QR from a payment app or aggregator, money collected today may be paid out to your bank later in one lump sum, often after deducting any fees. Settlement timing depends on your bank or payment app, so read its terms and note the usual delay. Once you know it, you compare the right days: today's UPI bills against the settlement that covers today.
The common causes of a mismatch, in the order you should check them:
| Cause | How you spot it | Fix |
|---|---|---|
| Settlement not yet received | Bank credit is lower, but the UPI app list matches the bills | Wait for the next settlement and compare again |
| Bill saved as cash, paid by UPI | Cash drawer is over, UPI is short by the same amount | Edit the payment mode on that bill |
| One UPI payment for two bills | One app entry equals the sum of two bills | Note both bill numbers against the payment |
| Udhaar paid by UPI | UPI app has a payment with no bill today | Record it as a due payment against the customer |
| Customer paid but you never got it | Customer shows a debit, your app shows nothing | Ask them to wait for the auto-reversal and pay again |
| Fake screenshot | Customer showed a screen, nothing in your app or soundbox | Treat as unpaid; see the section on fake screenshots |
| Payment aggregator fees | Settlement is slightly lower than UPI total | Record fees as an expense |
How do I record a bill paid part cash and part UPI?
Record it as a split payment on the same bill: the cash part and the UPI part as two lines that add up to the bill total. Do not save the whole bill as cash or as UPI, or both your cash count and your UPI total will be wrong.
Example: a ₹4,999 bill, customer pays ₹3,000 by UPI and ₹1,999 in cash. The bill should show both. At closing, the ₹3,000 appears in your UPI total and the ₹1,999 in expected cash. If you bill on paper, write "UPI 3,000 + cash 1,999" on the bill copy, not just "paid".
Do the same when change is involved. If the customer pays ₹500 in cash for a ₹420 bill, the cash received is ₹420, not ₹500, because you handed back ₹80.
What is a simple daily routine to match UPI with bills?
Take ten minutes at closing: get the day's sales by payment mode, open the UPI or bank app for the same day, match the totals, then look only at the difference. Do not try to match every single payment unless the totals disagree.
- Get today's sales by payment mode From your billing software or bill book, total the bills paid by UPI, by card and in cash. Include udhaar received today, sorted the same way.
- Open the UPI or bank app for today Filter to today's date and total the incoming payments to the shop QR. Ignore personal transfers if you use the same account (better: keep a separate account for the shop).
- Compare the two UPI totals If they match, you are done with UPI. If not, note the difference, for example ₹350 short.
- Find the difference Look for an amount equal to the difference: a bill saved as cash, a split bill, or a due payment. Most differences are one entry.
- Count the cash drawer Expected cash = opening cash + cash received − cash expenses − cash refunds. Count it and write down any short or excess.
- Check the bank credit next day When the settlement for today arrives, tick it against today's UPI total. A lower amount is usually fees; record them.
Should I make a consolidated entry for UPI sales at month end?
Not if you bill every sale: each bill already carries its payment mode, so the month's UPI total is simply the sum of those bills. A single month-end entry hides mistakes and makes the bank reconciliation harder.
Shops that do not bill small sales sometimes ask their accountant to put a consolidated UPI sales entry at month end. That keeps the books balanced but tells you nothing about which day or which counter was short. Daily matching costs ten minutes and catches problems while the customer still remembers paying. For GST rules on small B2C sales, see B2C bill rules for shops, and ask your CA how they want UPI sales recorded.
How do I catch fake payment screenshots?
Never accept a screenshot as proof. Confirm every payment on your own device: the soundbox announcement, a notification on the shop phone, or the entry in your UPI or bank app.
Fake or edited screenshots, and "payment pending" screens, are a common trick at busy counters. Simple rules help:
- Only the shop's device confirms a payment, never the customer's phone
- Check the amount and the time, not just the green tick
- If the payment shows as pending, ask the customer to wait or pay another way
- Put the soundbox or shop phone where the cashier can hear and see it
- Mark UPI on the bill only after the payment is confirmed
If a customer was really debited and you did not receive the money, the money returns to them: under RBI's turnaround rules a failed merchant payment must be reversed within T + 5 days. They should pay again, and you can note their phone number in case of a dispute.
What should the evening cash count include and exclude?
Include only physical cash: the opening float, cash received on bills and on old dues, minus cash paid out for expenses and cash refunds. Exclude UPI, card and udhaar, because none of that money is in the drawer.
Mixing them is the most common reason the drawer "never matches". If a ₹1,200 bill was paid by UPI but you expect it in cash, the drawer looks ₹1,200 short even though nothing is missing. If cash was taken out for tea, a courier or a supplier, it must be written as an expense, or the drawer looks short again. Our guide on end-of-day cash reconciliation goes deeper on the cash side.
Do I need a soundbox if I record UPI in billing software?
The billing software records what the bill says; the soundbox or app notification confirms that money actually arrived. They do different jobs, so most busy counters use both.
If you bill alone and watch the phone yourself, the phone notification may be enough. With a cashier or two counters, a soundbox at each counter makes confirmation quick and hard to fake.
