Quick answer

The best billing software for an agro, pesticide or seed shop (krishi kendra) in India tracks every pack by batch and expiry so old stock sells first, keeps farmer credit (udhaar) running until harvest with part payments and WhatsApp reminders, handles units such as litre, kg and box, and keeps supplier and company ledgers. RichPOS covers these from ₹99/month for the first 3 months, then ₹199/month or ₹2,000/year. It does not connect to the government fertiliser PoS device and needs internet, so offline-first shops should look at apps that list offline billing.

An agro input shop sells pesticides, seeds, fertilisers and small farm tools to the same farmers every season, much of it on credit until the crop is sold. Packs carry batch numbers and expiry dates, and expired pesticide is a loss you cannot sell. This guide compares the options on those needs.

Which software fits which agro shop?

RichPOS: krishi kendras that sell on season credit

Enter the batch and expiry on each purchase, and billing picks the oldest expiry first. Every farmer gets an account with dues and part payments, and a WhatsApp reminder after the harvest market opens. Units let you buy pesticide by the carton and sell by the bottle, and purchase orders and supplier ledgers keep each company's account clear. It runs on a phone browser and the Android app, so the owner can check dues from the field. See batch and expiry tracking and credit limits for customers.

Vyapar: when you need offline billing, e-way bills or a free start

Vyapar lists offline billing, e-invoices and e-way bills (10 e-way bills a month on Silver, unlimited on Gold) and a free plan. It is the safer pick if your internet is unreliable. See RichPOS vs Vyapar.

Marg ERP: agro distributors

Marg suits distributors supplying many retailers from a desktop ERP; each extra user or company adds ₹3,000. See Marg alternatives.

Licences an agro input shop needs

You sellWhat the law saysWhere to apply
Insecticides and pesticidesInsecticides Rules, 1971, Rule 10: apply for a licence to sell, stock or exhibit for sale or distribute insecticides in Form VI (renewal in Form VII); the licence is issued in Form VIII for the named premisesLicensing officer of your state
SeedsSeeds (Control) Order, 1983, clause 3: no one may carry on the business of selling seeds except under a licence; apply in Form A, licence granted in Form BLicensing authority of your state
FertilisersFertiliser (Control) Order, 1985, clauses 7 and 8: a wholesale or retail dealer files a Memorandum of Intimation in Form A1 to the Notified Authority; the acknowledgement in Form A2 is deemed to be the authorisation letterNotified Authority of your state
Any of the above, above the GST limitCGST Act, 2017: GST registrationGST portal

One rule matters directly for billing: under Insecticides Rules, 1971, Rule 15(1), all sales of insecticides must be made by a bill or cash memo. Fees, qualifications and forms are set and updated by each state, so check with your district agriculture office before you apply. Sources: Insecticides Rules, 1971; Seeds (Control) Order, 1983; Fertiliser (Control) Order, 1985, as amended (texts published by state governments, such as the Puducherry government's copies at py.gov.in). General shop licences are in licences for a retail shop.

GST on agro inputs

Fertilisers, pesticides, seeds and farm tools sit under different HSN headings, and some seeds are exempt. Take the HSN from the company's invoice, check the rate in the HSN and GST rate finder and confirm with your CA, then save it on each item once so every bill carries it. A shop selling only exempt goods issues a bill of supply instead of a tax invoice.

Setting up an agro shop in RichPOS

  1. Start the free trial and add items with company, pack size, unit, HSN and GST rate.
  2. Turn on batch and expiry for pesticides and seeds, and enter both on each purchase.
  3. Add farmers as customers with village and phone; set credit limits for regulars.
  4. Record part payments as they come and send reminders after harvest.
  5. Check batch expiry dates every month and return old stock to the company in time.

Bottom line

An agro shop's two big leaks are expired stock and farmer credit that never comes back. Add your top pesticide and seed items with batches to the RichPOS free trial, open accounts for your regular farmers and run one week on it. Compare all options on the comparison page.

FAQ

Frequently asked questions

Which is the best billing software for a pesticide or seed shop in India?
Choose software with batch and expiry tracking, farmer credit with part payments and reminders, unit conversion and supplier ledgers. RichPOS does this from ₹99/month for the first 3 months, then ₹199/month or ₹2,000/year. If your internet is unreliable, pick an app that lists offline billing, such as Vyapar.
How do I track expiry of pesticide stock?
Enter the batch number and expiry date on every purchase. Software with first-expiry-first-out (FEFO) billing then sells the oldest batch first, and the batch list shows each expiry date so you can return or clear old stock in time. RichPOS has batch and expiry tracking with FEFO.
How do I manage farmer udhaar until harvest?
Give each farmer an account, bill every credit sale to it, record part payments and set a due date after the harvest market. Send a polite WhatsApp reminder with the balance. A credit limit stops one account from growing too large.
Can RichPOS record subsidised fertiliser sales?
No. Retailers record subsidised fertiliser sales on the PoS device issued under the Department of Fertilizers' subsidy (DBT) system, and RichPOS does not connect to it. Use RichPOS for your other items, credit and accounts.
Which licence do I need to sell pesticides?
A licence to sell, stock or exhibit insecticides under Rule 10 of the Insecticides Rules, 1971 (made under the Insecticides Act, 1968): apply in Form VI to your state's licensing officer. Seeds need a dealer licence under clause 3 of the Seeds (Control) Order, 1983, and fertilisers an authorisation under clause 8 of the Fertiliser (Control) Order, 1985.
Do I have to give a bill for every pesticide sale?
Yes. Rule 15(1) of the Insecticides Rules, 1971 says all sales of insecticides shall be made by a bill or cash memo. Billing software that saves every bill makes this easy.
