Batch & expiry

Batch and Expiry Tracking with FEFO Billing

Quick answerIn RichPOS you switch on batch and expiry tracking for the items that need it. Each purchase line takes a batch number and expiry date, the POS picks the batch that expires first (FEFO) and skips expired stock, and the Expiry page lists what has expired or expires within 30, 60 or 90 days, with its value.

How it works

How batch and expiry tracking works

  1. Turn it on per item

Tick 'Track batch & expiry' on the items that need it. Existing stock goes into an opening batch, and items you don't tick work as before.

  2. Enter batches on purchase

On the purchase bill, type the batch number and expiry date (and MFG date and MRP if you want) for each tracked line.

  3. Bill: earliest expiry first

At the counter, RichPOS picks the batch with the earliest expiry and skips expired ones. The cashier can change the batch on the cart row.

  4. Expired stock is blocked

Staff cannot bill an expired batch. The owner must confirm before an expired batch is sold.

  5. Check the Expiry page

See expired items and those expiring in 30, 60 or 90 days with quantity and value at purchase price, and return or clear them in time.

FAQ

Questions shop owners ask

What is FEFO and does RichPOS do it?

FEFO means First Expiry, First Out: you sell the stock that expires soonest before newer stock. RichPOS picks the earliest-expiry batch automatically on the POS and sales bill and skips expired batches.

Do I have to track batches for every item?

No. Batch and expiry tracking is switched on item by item. Use it for medicines, packaged food or cosmetics, and leave the rest of your items as they are.

How will I know what is about to expire?

The Expiry page lists items that have expired and those expiring in the next 30, 60 or 90 days, with quantity and value at purchase price, so you can return them to the supplier or sell them first.

Can staff sell an expired batch by mistake?

No. Non-owner roles are blocked from billing an expired batch, and the owner must confirm before one is sold.

Does the batch number print on the bill?

Yes. The POS bill and A4 invoice show the batch number and expiry under each tracked item.

What happens to my existing stock when I switch it on?

The stock you already have goes into an opening batch. From the next purchase you enter real batch numbers and expiry dates.
