Clothing shop bill format (garment bill in Excel, Word and PDF)

Quick answer

A clothing shop GST bill needs the Rule 46 fields plus a size and colour on each line, and the right GST rate per piece: 5% when the sale value is up to ₹2,500 a piece and 18% above it, from 22 September 2025. The rate goes by each piece's value after discount, not by the bill total.

What a clothing / garment shop bill must show

Every tax invoice needs the Rule 46 fields in the table further down. On top of those, a clothing bill needs:

What to printWhy / source
GST rate decided per pieceApparel of sale value up to ₹2,500 per piece at 5%, above ₹2,500 at 18% (PIB, 56th GST Council, from 22 Sep 2025)
Discount shown before GSTRule 46(k): taxable value after discount; the discounted value also decides the slab
HSN by fabric and type (61 knitted, 62 woven)Rule 46(g); the chapter changes with the garment
Size and colour on the lineNot a GST rule, but it is what an exchange or return is checked against

The shop columns in this format

  • Size: S, M, L, 32, 40 and so on. Exchanges are mostly size changes.
  • Colour: Two lines with the same shirt in two colours are two stock items.
  • Disc. %: Festival discounts are common. GST is charged on the price after the discount.

GST rates on the sample items

Before 22 September 2025 the line was ₹1,000 a piece and the higher rate was 12%. Now pieces up to ₹2,500 are at 5% and pieces above it at 18% (PIB, 56th GST Council). The sample blazer at ₹3,999 shows the 18% line.

Common mistakes on clothing bills

  • Applying 18% to the whole bill because the total crossed ₹2,500. The slab is per piece.
  • Using the MRP to decide the slab when the piece was sold at a discount below ₹2,500.
  • Writing 'Shirt' with no size or colour, which makes exchanges and stock counts guesswork.

How to use this format

  1. Download the format. Choose Excel (.xlsx) for automatic GST totals, Word (.docx) to edit the layout, or Print / Save as PDF to get the A4 sample as a PDF.
  2. Put in your shop details. Replace the sample shop name, address and GSTIN.
  3. Type over the sample items. Enter each item with its HSN, size, colour, quantity, rate, discount and GST rate. In Excel the taxable value, CGST, SGST or IGST and the total fill in by themselves.
  4. Print, sign and keep a copy. Print on A4 or save as PDF, sign it and keep the office copy with the next invoice number in your series.

FAQ

Clothing bill format: questions

What should a clothing shop bill show?

Your name, address and GSTIN, bill number and date, then for each piece the description, HSN, size, colour, quantity, rate, discount, taxable value and GST rate, followed by CGST, SGST, total and a signature. Add your exchange policy at the bottom.

What GST rate goes on clothes in 2026?

5% for a piece with sale value up to ₹2,500 and 18% above ₹2,500, from 22 September 2025. The limit applies per piece on the value after discount. Some fabrics and made-ups have their own entries, so check the HSN for unusual items.

Is the ₹2,500 limit on MRP or on the price I sell at?

On the sale value. A piece with ₹3,000 MRP sold at ₹2,400 after discount falls in the 5% slab. Show the discount on the bill so the taxable value is clear.

How do I bill an exchange?

Treat it as a return and a new sale: a credit note for the returned piece and a new invoice for the new one, or adjust on the new bill and keep the original bill number as a reference. Our sales return guide covers the credit note.

Can I make a garment bill in Excel?

Yes. The Excel format here has size and colour columns and works out GST per line. Type the rate for each piece; the sheet does not choose 5% or 18% for you.
