Mobile shop bill format (phone and accessories bill)

Quick answer

A mobile shop GST bill needs the Rule 46 fields: your GSTIN, a serial number, date, HSN, description, quantity, taxable value, GST rate and amount, and a signature. Phones (HSN 8517), chargers and earphones are at 18%. Most shops also write the phone's IMEI and the warranty on the line, because the brand asks for the bill at service.

What a mobile phone & accessories shop bill must show

Every tax invoice needs the Rule 46 fields in the table further down. On top of those, a mobile shop bill needs:

What to printWhy / source
HSN 8517 for phones, 8504 chargers, 8518 earphonesRule 46(g); different HSN, same 18% rate
Buyer GSTIN for a business buyerRule 46(d); without it the buyer cannot claim input tax credit
IMEI or serial number as a noteNot a GST field. Brands ask for the bill with the IMEI for warranty service, so it belongs on the line
Warranty termsWho gives the warranty and for how long; not a GST field

The shop columns in this format

  • IMEI / serial (note): A free-text column. Type the IMEI from the box; nothing checks or tracks it.
  • Warranty: For example 1 yr (brand) for the phone and 6 months for a charger.

GST rates on the sample items

Mobile phones, chargers, earphones and covers in the samples are at 18%. The September 2025 changes did not lower phones. Repairs are services; see the guide on GST for mobile repairs.

Common mistakes on mobile shop bills

  • Mixing a repair charge into a phone sale bill. Repair is a service with SAC, not HSN.
  • Skipping the IMEI, then the customer cannot show which phone the bill is for.
  • Missing the buyer GSTIN on a sale to a business, which blocks their input tax credit.

How to use this format

  1. Download the format. Choose Excel (.xlsx) for automatic GST totals, Word (.docx) to edit the layout, or Print / Save as PDF to get the A4 sample as a PDF.
  2. Put in your shop details. Replace the sample shop name, address and GSTIN.
  3. Type over the sample items. Enter each item with its HSN, imei / serial (note), warranty, quantity, rate, discount and GST rate. In Excel the taxable value, CGST, SGST or IGST and the total fill in by themselves.
  4. Print, sign and keep a copy. Print on A4 or save as PDF, sign it and keep the office copy with the next invoice number in your series.

FAQ

Mobile shop bill format: questions

What should a mobile phone bill contain?

Your shop name, address and GSTIN, bill number and date, the buyer's details (GSTIN if a business), then the phone model with HSN 8517, IMEI note, quantity, rate, taxable value and 18% GST split, accessories on their own lines, the total and a signature.

Is it compulsory to print the IMEI on a mobile bill?

Rule 46 does not ask for it. It is still common practice because brands ask for the bill at warranty service and it shows which handset was sold. The format has a free-text column for it.

What is the GST on mobile phones?

18% on phones under HSN 8517, and 18% on chargers and earphones in the samples. Check the rate for any other accessory by its HSN.

Can I put a phone and a repair on the same bill?

Better not. A phone is goods with HSN; a repair is a service with SAC 9987. Keep them as separate bills or separate lines with the right code and rate.

Does the warranty need to be on the bill?

Not for GST. It saves arguments later, so the format has a warranty column and a footer line.
